ONLINE OPERATIONAL EXCELLENCE & DIGITAL NETWORK EVENT - 14TH MAY 2020

Last week we held our first combined online Digital and Operational Excellence network event. The event was split into 3 sessions, Scott Worth and Robert Lancaster began with welcomes and introductions and passed over to Chris Clarke from EY to discuss best practise tips for collaboration. These included the following:

  • Communicate often
  • Foster Relationships
  • Optimise calendars
  • Iterative feedback

He then shared EY's top 5 collaboration tools and why they have been useful within their organisation. MS Teams, Zoom, Mentimeter, Mural and servicenow.

Scott followed with a member contribution, a case study from Central England Co-operative on introducing MS Teams. This included the Business Case, Collaboration Culture, Champion network, Adoption and Acceptance, Innovation and Watch Outs. The session proved a great discussion point within the group.

Part 2 of the event was faciliated by Anne Charlotte Taylor and focused on Covid19 and the changing face of Shared Services Operating Models. Julia Lewis from EY began this session discussing what other GBS and SSC organisations have been thinking about, talking about and planning for in terms of what should they be doing differently off the back of the current pandemic. She shared the 3 phases that EY have put together:

NOW - Responding to the immediate crisis, demonstrating resilience, protecting operations and ensuring business continuity. 

NEXT - Looking at recovery. How do we recover whilst still having to maintain some of the changes of ways of working and what is it that we have learnt that we can adopt into our future ways of working.

BEYOND - Once we get through phase 1 and 2 and return back to some kind of normality, how do we take the learning's and the things we have discovered and use as an opportunity to transform our organisations and improve for the future?

It was interesting to find out from an EY perspective that Shared Service organisations have demonstrated the most resilience in the face of the crisis and have been able to continue to operate, where as other organisations outside of SS in the broader business have found it more difficult to adapt and adjust.

Julia shared an overview on some of the changes they have had to introduce, like Remote working, Embracing Digital and Scope and Service Change and whether they will be made more permanent in the future.  Julia covered remote working and introduced some Sli.do question, asking how well has your team adjusted to remote working, which teams would you return back to work first and which teams could continue to work remotely. Chris then talked us through embracing Digital from an EY perspective. 

Samantha Ryan finished off the last part of session with another member contribution from Yorkshire Water and how they have coped during lockdown and adjusting to remote working. Samantha covered how ready they were, how they are checking in with their Teams and how they are currently operating now and what things they will continue with.

The final section of the event was facilitated by Scott Worth and focused on what does the future of Shared Service look like post Covid. Scott handed over to Sunny Sanghera from EY who then ran through examples of Scope and Service Changes within EY and examples of that. 

They finished with a few Sli.do questions which asked what processes, activities and services have you switched offand what do organisations plan to keep switched off.
